Secure Museum Provenance Records

Protect restricted artifact ownership records with controlled copies, minimized disclosure, verified authorized recipient handoff, tested recovery and documented retention—without confusing encryption with ownership duty or receipting accuracy.

EIGHT PROVENANCE-RECORD ROUTES

Follow each provenance record from collection to controlled retirement.

Each route addresses one provenance-record decision with a unique photograph, procedure and control boundary.

INTERACTIVE RELEASE CHECK

Is this provenance release packet ready for controlled research handoff?

Confirm scope, key separation, minimization, recipient authority, independent recovery and retention before release.

Confirm six controls before releasing the provenance release packet.
CONTROL BOUNDARY

Encryption protects files; it does not validate a provenance record.

Record sufficiency, legal title, provenance authenticity, cultural-property duties, authorized recipient authority, recipient acknowledgement, provider permissions and recovery require separate evidence. Start with the collections-management system as the authoritative index, then document every exported copy, approved purpose, custodian and review date. Keep accession decisions, restitution analysis and legal advice outside a general encrypted packet unless the responsible authority explicitly includes them. A release record should show who approved the disclosure, which fields were minimized, how the recipient was verified and when temporary access ends. Physical object security and file confidentiality are different controls; neither substitutes for the other.
